The Administrative Assistant + Showroom Coordinator performs a variety of tasks to contribute to the success of various teams and initiatives. The responsibilities associated with this role include regular administrative duties as well as significant contributions to specific projects.    



General Office Support

  • Greet and warmly welcome all guests to the company’s Chicago showroom.

  • Receive calls to the main phone line and route appropriately.

  • Coordinate mail and shipments - both inbound and outbound – and messenger service

  • Maintain the office calendars and coordinate room schedules for both locations.

  • Serve as the point of contact for the maintenance of the Chicago office space, including the timely handling of various concerns, such as HVAC, plumbing issues, painting, carpet cleaning, etc.

  • Maintain order and cleanliness throughout the Chicago office, including the kitchen, workstations, meeting spaces, and materials library. (This task is performed in partnership with the company’s contracted cleaning service)

  • Ensure the sufficient supply and sensible distribution of building fobs, office keys and lock codes for the Chicago office to appropriate staff.

  • Serve as the point of contact for technology issues related to the Chicago office and provide assistance as needed.

  • Purchase supplies and equipment at the direction of management.

Operational Support

  • Support the Design Team by providing assistance to the Design Manager and by implementing department leaders’ visions for vendor presentations, the manufacturers list, the materials library, My Resource Library, and the provision of samples.

  • Support the Human Resources Department by assisting in the planning and/or execution of our Rewards & Recognition Program, company events, the onboarding of new employees, and various administrative tasks.

  • Support our Management Team by maintaining the management calendar, completing special projects, and delivering other forms of executive support.

  • High school degree of equivalent

  • At least two years of experience in an office, hospitality, or showroom environment
